Administrator Based – Lyneham, Wiltshire Salary - £15,000p/a Monday 29/09/08 start on a temp to perm basis. Our client is an integrated and incorporated joint venture company. The contract covers 43,000 Defence Estates Housing properties throughout England and Wales. It is a £70m a year contract providing 3 main services; Strategic and Local Management valued at £15m Core services providing planned and responsive maintenance valued at £50m Core Works providing capital projects including refurbishment valued at circa £15m rising to up to £50m per annum during the life of the contract. The successful candidate will have strong administration experience ideally gained whilst working in a construction, property maintenance or military environment. With a comprehensive understanding of administrative techniques and disciplines they will have excellent organisational and problem solving skills. The successful applicant will have strong communication skills with the ability to build working relationships with colleagues and clients. Key role objectives To provide administrative duties including input of data to their systems and scanning of record documentation for upload into their database, including test certificates. Ensuring database is updated appropriately with remedial works that have been identified by Technical team. Preparation of meeting minutes. Filing of records in job files. Ensuring that all relevant completion details and dates are recorded on database and signed off. To record the time and materials used for each job, including voids. To be responsible for checking the accuracy of data that is inputted on the database making sure that it is verified and that any missing data is provided. To input asset data into asset register when works have created changes to assets. To amend the asset register to reflect void/let status of properties. To self audit of asset data to check for accuracy and completeness. To develop and maintain an excellent working relationship with Client personnel involved directly or indirectly with the contract. To maintain accurate records of work in progress and completion against target for works off the Strategic Facilities Plan. To scan relevant record data from Job Packs into WorkManager. To liaise with Project Managers, Technical Officers, Field Managers and Help Desk Agents. Knowledge, Skills and Qualifications Required Minimum of 2 years experience of general office work and good understanding of administrative practices. Experienced in data processing, typing and general administrative duties. Educated to NVQ Level 3 standard or equivalent experiential experience. RSA I and II or equivalent. Computer literate. Excellent listening, communication and customer care skills. Ability to work under pressure; think clearly and act decisively. Good personal organisation skills. Flexible approach to work to meet customer needs.
